COMMUNICATION IN MEETINGS

GENERAL OBJECTIVES  :   By the end of the unit, you should be able to :
  • participate in an appropriate manner and at appropriate times to convey various
                 information and to ask questions
  • understand the roles of various persons in the meeting such as Chairperson and Secretary of the meeting
  • understand the general proceedings of meetings from the Chairperson's address, passing of the minutes, to the adjournment.

SPECIFIC OBJECTIVES  : By the end of this unit, you should be able to :-
  • explain the roles and duties of the chairperson, secretary and members in a meeting
  • recognize the stages of a meeting
  • use appropriate phrases in meetings   
  • use the appropriate vocabulary in meetings

3.1    INPUT 1:  Roles of participants in a meeting

Who are the people in a meeting?
What roles do they play?

ACTIVITY  1  (Listening)

The Chairperson, secretary and the members have their roles in ensuring a successful meeting. Do you know what their duties are?

a. Listen to the duties and write down the numbers in the correct columns.  Numbers can be applied to more than one column.  The first one has been done for you.

3.2    INPUT 2  :    Effective participation


How do we participate effectively in a meeting ?



        Before the meeting:
  • Read the previous minutes
  • Read the agenda
  • Check the location of the venue
  • Be punctual
  • Bring along relevant documents

During the meeting:
    • Work as a team member
    • Support your ideas or arguments with facts, reasons and examples
    • Show initiative in the discussion

3.3    INPUT 3  :  Stages of a meeting
1. The Chairperson opens

ACTIVITY 1

One   week before the Polytechnic re-opens, the Students’ Body committee members are called to discuss on the Orientation Week for the new students. Below is the agenda for the meeting.  Study the agenda

              below.

  3. Confirmation of minutes of the previous meeting
  4. Matters arising
  5. Briefing on orientation week
  6. Delegation of duties on the orientation week
  7. Any other matters
  8. Date of the next meeting

items that form the main business of the meeting and
     are listed individually on the agenda.
I.    If members have noticed information which are not
     correct or have been left out, they can ask for the
     relevant parts of the minutes to be corrected.
     The Chairperson signs the minutes to confirm them when  
     members are satisfied with them.
